🌱 This guide illustrates modifying an existing label template using Microsoft Word MailMerge. We demonstrate changing a field's text to capital letters and adding a barcode. For this example, we use the Lbl_L1 template as a starting point.

Modify a field name with all capital letters
- Open up your Word document
- Select and right-click the field you would like to change. Then click Edit Field... It is critical to be accurate and use the Edit Field... option to change the Field name and properties.
- In Field properties change the Format from "(none)" to "Uppercase". Click OK.
- Select and copy the field and paste it into the other labels. In our example the field "FamiliyCommonName" should be replaced with the new format in the rest of the three labels.
Add a barcode to your label
We want to add a barcode as well. Copy the field "ItemAccNoFull" and place it at the end of the first label. Make sure to copy the whole field, including the "" .
We want to use the barcode to view the Accession, so we will have to change the field to AccNoFull. We will then use the font Free 3 of 9 to create a barcode.
Right-click the text and click Edit Field... Change the field name to AccNoFull. Since we are adding a barcode we also need to check the two first Field options and add an asterisk [*] so the barcode reader know where to start and stop.
Click OK.
Select the text "AccNoFull" and change the font from "Arial" to "Free 3 of 9". You will immediately see that the text changes into a barcode-like text. Copy and paste the whole field to your other 3 labels.
Save your template when you are done with your changes.
💡 Tip!
If you want to add barcodes, pay attention to the colour of the text and the background of your label. If your labels are dark with light text the barcode reader must be set to read the barcode inverted.
Upload the custom template to IrisBG
- First, test your new template. You should now be able to select your new label when you are creating Label reports. Do a small selection and verify that your new labels look they way you expect. When you are happy with the result:
- Open up the Custom templates screen in the Definitions group.
- Upload your new template document.
Your new custom template is now included in your database and can be used by other users.
